Booking Terms & Conditions

Booking Terms & Conditions

Welcome to our Terms and Conditions page. Below, we detail the booking policies, legal agreements, and guidelines under which Cusco Land Expeditions operates to guarantee a safe, reliable, and transparent experience across all our travel and trekking services.

1. Payment Schedule & Booking Confirmation

To secure and officially confirm any tour or trek with Cusco Land Expeditions, a mandatory deposit of 50% of the total price per person is required. This deposit is essential for the immediate purchase of train tickets, Machu Picchu entrance fees, and government permits, which are subject to strict availability. The remaining 50% outstanding balance must be paid upon your arrival in Cusco, either 24 hours prior to departure or during your scheduled pre-tour briefing session. Failure to settle the outstanding balance before the departure date will result in the cancellation of your trek without eligibility for refunds.

2. Trip Itineraries & Force Majeure Adjustments

All tours, excursions, and treks are subject to modifications based on unforeseen circumstances beyond our control. Cusco Land Expeditions reserves the right to alter, reschedule, or cancel any trip due to extreme weather conditions, river floods, road closures, strikes, natural disasters, or political climate. We also reserve the right to restrict any participant’s trip if deemed unsuitable for the activity (due to chronic health issues, insufficient physical fitness, or intoxication) to preserve the safety of the group. Missed tours due to the reasons listed above are non-refundable and cannot be recuperated. If a trip is completely canceled due to circumstances beyond our control before it begins, a trip credit equal to the full amount paid will be issued for future travel dates.

3. Change & Rescheduling Policy

If you wish to change your departure date or modify your route after the booking deposit has been successfully processed:

  • More than 48 hours before departure: An administrative fee of $40 USD per person applies, subject to train and entrance permit availability.

  • Within 48 hours of departure: A fee of $80 USD per person applies.

4. Cancellation and Refund Policy

Cusco Land Expeditions reserves the right to cancel operations due to internal constraints. In such specific cases, a full refund (including the booking deposit) will be provided to the client. However, our agency is not responsible for any additional external expenses incurred by the client, such as non-refundable airfare, travel gear purchases, visa fees, or personal medical expenses.

  • Booking Deposits: All 50% initial deposits are strictly non-refundable and non-transferable due to Peruvian government regulations regarding secured entrance tickets and permits.

  • Delayed Arrivals: We assume no responsibility for missed tours due to delayed commercial flights or public buses. While we will do our absolute best to accommodate schedule modifications, all additional costs generated will be the client’s responsibility.

  • No-Shows: Cancellations made within 48 hours of departure due to illness, missed flights, or any other personal reason are classified as «No-Shows» and are subject to full payment with zero eligibility for refunds.

  • Inca Trail Permitting: All Classic Inca Trail (2-Day & 4-Day) cancellations are automatically considered «No-Shows» due to strict regulations enforced by the Peruvian Ministry of Culture; thus, the full trek price must be completely paid.

  • In-route Emergencies: If a passenger falls ill or sustains an injury on the mountain trail, any emergency evacuation transportation, ambulance fees, and medical costs are not included in the tour price.

5. Health Declarations & Medical Records

We require a signed medical release from a licensed physician for any guests over 70 years of age, or those with a known history of cardiovascular disease, chronic illness, or physical disabilities. You must accurately inform your trekking guides of any active medications or health conditions prior to departure to prevent mountain accidents or emergencies.

6. Travel Insurance Requirements

For your own physical and financial safety, Cusco Land Expeditions strongly recommends purchasing a comprehensive international travel insurance policy. Your policy should ideally cover unexpected trip cancellations, travel delays, high-altitude medical expenses, and emergency evacuation assistance to protect your investment.
